The Club Golf is owned and operated by Clubhouse Labs, LLC ("we," "us," or "our"). This Privacy Policy explains what information we collect when you use The Club Golf — including the website at theclubgolf.co and our mobile and web apps (together, the "Service") — and how we use and protect it.
1. Information We Collect
We may collect the following categories of information when you create an account, use features, or contact us:
- Name — your full name and/or display name.
- Email address — used to log in, recover your account, and send transactional notifications.
- Profile information — username, profile photo, bio, age range, handicap, home course, and similar profile details you choose to provide.
- Location data — approximate location (city / region) and, when you opt in, more precise location used to match you with nearby golfers, courses, or events.
- Golf preferences — preferred tee times, playing style, courses you save, and similar preferences you set.
- Messages and user communications — direct messages, group chat content, comments, and support correspondence. When you use in-app Block or Report, the blocked-user identifier and the reported item (with a short snapshot) are stored to enforce the block and let our safety team review the report. Report metadata is retained even if you later delete your account.
- Device and app usage data — device type, operating system, app version, IP address, crash logs, and usage analytics that help us improve the Service.
2. How We Use Your Information
- Create and manage your account and verify your identity.
- Match you with golfers, partners, and groups that fit your preferences and location.
- Operate features such as side games, scoring, messaging, and notifications.
- Send transactional emails (password reset, match notifications, important account updates).
- Provide customer support and respond to your requests.
- Improve the Service, fix bugs, and develop new features.
- Comply with legal obligations and enforce our Terms of Service.
3. How We Share Information
We do not sell your personal information. We share data only as follows:
- With other users — your public profile, posts, scores, and messages are visible to the users you interact with.
- With service providers — vendors that help us run the Service, including hosting, database, email delivery, push notifications, analytics, and object storage. These providers are bound by contract to handle your data securely.
- For legal reasons — when required by law, court order, or to protect the rights, safety, or property of users, the public, or Clubhouse Labs, LLC.
- Business transfers — if Clubhouse Labs, LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
3a. AI-Powered Features
Some features of the Service use artificial intelligence provided by third-party AI services:
- Scorecard scanning — when you photograph a paper scorecard, the image is sent to a third-party AI model to read the course name and hole pars. The image is used solely to extract that information and is not used by the AI provider to train its models.
AI processing happens only when you actively use these features (for example, by choosing to scan a scorecard). Data sent to AI providers is limited to what is necessary for the feature to work, and is handled under the same "limited use" standards as our other service providers.
4. Your Choices and Rights
- You can view and edit your profile information at any time from the in-app Settings.
- You can opt out of marketing emails via the unsubscribe link in any marketing email.
- You can disable location permissions in your device settings — some features (such as nearby-golfer matching) may not work without location.
- You can request a copy of your data or request deletion of your account at any time. See our Account Deletion page.
5. Data Retention
We retain your information for as long as your account is active and for a reasonable period after deletion to comply with legal obligations, resolve disputes, and enforce our agreements. When you request account deletion, we permanently delete or anonymize your personal data within 30 days, except where retention is required by law.
6. Children
The Club Golf is intended for users 13 years of age and older (or the age of digital consent in your country, whichever is higher). We do not knowingly collect information from children under that age. If you believe a child has provided us information, please email support@theclubgolf.co.
7. Security
We use industry-standard administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, but we work hard to keep your data safe and notify you of material incidents as required by law.
8. International Users
The Service is operated from the United States. By using the Service, you understand that your information will be processed in the United States, which may have different data-protection laws than your jurisdiction.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version here with a new "Last updated" date and, where appropriate, notify you by email or in-app notice. Continued use of the Service after an update constitutes acceptance.
